How It Works

From Booking to Your Recordings

What happens before, during and after your event.

  1. 1

    Reserve your date

Add the guestbook to your quote. It goes to one event per rental period, so a 50% deposit holds your date.

  2. 2

    Set up your greeting

Your personal greeting is loaded onto the phone before pickup or delivery, so guests hear you when they lift the handset.

  3. 3

    Guests leave messages

The sign beside the phone tells guests to lift the handset, speak after the tone and hang up to save the message.

  4. 4

    Hear every message

Return the phone the day after your event. We download the recordings and send them to you digitally.

Audio Guestbook Guide

Planning Your Audio Guestbook

What it is, what it costs, what guests say and where to put it.

What is an audio guestbook?

An audio guestbook is a telephone that records spoken messages in place of, or alongside, a written guestbook. It is also called an audio guest book, a phone guest book or a voicemail guestbook. Guests pick up the handset, hear a short greeting from the hosts and leave a message after the tone.

A written guestbook collects a signature and a line or two. On the phone, guests tell the story of how they met you, give the toast they did not get to make during the speeches, or sing. Grandparents and young children leave messages they would never write down, and the recordings keep their voices from the day.

How does the audio guestbook phone work?

Lift the handset and the phone plays your greeting. After the tone, the guest speaks, then hangs up to save the message. The black acrylic sign beside the phone gives these steps along with ideas for what to say, so the phone runs without anyone attending it.

Guests do not need their own phone, an app or a number to call. A message is saved when the handset goes back on the cradle, which is why the sign asks guests to hang up when they finish. After the event you return the phone and we send you the recordings.

How much does an audio guestbook rental cost?

Our audio guestbook rents for $125 for three days, with the instruction sign, greeting setup and digital delivery of your recordings included. Full-service audio guestbook rentals in BC generally run $250 to $450 (October 2026), and staffed phone booth packages cost more.

It costs less because the phone rents the same way as the rest of our decor: you pick it up the day before your event and return it the day after, or we deliver it with the rest of your order. Delivery is quoted for your venue, and a 50% deposit reserves your date.

What should guests say on an audio guestbook?

The sign beside the phone suggests four prompts: marriage advice, a favourite memory of the couple, date night ideas and bucket list adventures. Short messages work best, and guests can record together, so a table of friends can leave one message as a group.

Your greeting sets the tone. Keep it under 15 seconds and end with a clear cue, for example: “Hi, it’s Maya and Jordan. Thank you for celebrating with us! Leave us a message after the tone, and hang up when you’re done.” For a birthday or anniversary, use the name of the guest of honour and the occasion.

Where should the audio guestbook go at the venue?

Put the phone where guests pass more than once but away from the DJ speakers and the bar line, such as beside the cards and gifts table or near the entrance to the reception. A quieter spot gives cleaner recordings.

Light the table with a cordless lamp so guests can read the sign after dark, and ask your MC or DJ to mention the phone once the speeches are done. That one announcement brings over the guests who walked past the table on their way in.

Can guests leave messages in Punjabi, Hindi or other languages?

Yes. The phone records whatever guests say, in any language, so grandparents and relatives can leave blessings in Punjabi, Hindi, Urdu or whichever language they are most comfortable in.

For a wedding that spans several events, such as a mehndi, a sangeet and the reception, ask us to extend the rental when you book; extra days are charged at a daily rate. Our mehndi, sangeet and Diwali decor covers the rest of the setup.

Do you deliver the audio guestbook to Kelowna and the Okanagan?

Yes. We deliver across the Okanagan, including Kelowna, West Kelowna, Vernon and Penticton, as well as Metro Vancouver and the Fraser Valley. You can also pick the phone up in Fort Langley the day before your event and return it the day after.

The guestbook travels with the rest of your order, so if you are renting a backdrop, linens or centrepieces, it arrives in the same delivery. Delivery is quoted for your venue and date.
